Role Overview

BGRS is looking for a bilingual Executive Assistant to provide a variety of executive administrative support to four (4) Executives, located at the Ottawa office. The successful candidate will interact with all levels in the organization, as well as external clients and suppliers.

This role requires attention to detail, exceptional organizational skills, strong communication skills, the ability to self-manage and the poise and professionalism to represent the company’s executive leadership.


What You'll Be Doing
 

  • Provide administrative support to four Executives, which will include meeting scheduling, preparation of expense reports, meeting and events co-ordination, arrangement of all domestic and international travel arrangements, prepare correspondence and assist with presentations as required.

  • Will required to also providing administrative support and resourcing to other onsite leaders, as required.

  • Responsible for the office supplies ordering and invoice payments

  • On-site Operations Co-coordinator for the office business continuity plan

  • Process IT purchase orders and purchase requisitions using the company’s expense management system.

  • Assist with the preparation of business presentations using excellent PPT skills.

  • Assist with the coordination of live Town Halls for the CEO on a quarterly basis, including managing the video conference

  • Prepares excel spreadsheets as required. Assist with expense tracking and budget preparation.

  • Prepare weekly reports and flag any variances.

  • Organize all internal group meetings (as well as external client/supplier onsite meetings) including room bookings and email invites. Responsible for any catering as required. Provide administrative assistance to other Senior Leaders when they are on business travel to the Ottawa office.

  • Handle highly confidential information with the utmost discretion

  • Document and maintain minutes for meetings and/or special projects

  • Provide co-ordination and administration as necessary for facility initiatives, including liaising with the property manager and managing parking spaces

  • Prepare, proofread and edit correspondence, presentations and other division-wide messages

  • Assists with various projects as required in the form of being a tester and/or by providing project coordination support

What You Bring to BGRS

  • Bilingualism is required (French and English)

  • Bachelor’s Degree or equivalent combination of education and experience

  • Minimum 5+ years of administrative experience working with senior management

  • Must be well organized with excellent communication skills, professional presence and an ability to multitask

  • High degree of confidentiality, tact, discretion and judgment

  • Ability to work independently in a fast-paced environment

  • Demonstrated self-starter who will regularly seek out ways to provide support and assistance. Anticipates the needs and initiates action/communication proactively with stakeholders.

  • Strong coordination skills and ability to balance multiple tasks and prioritize work in order to meet deadlines

  • Excellent MS Outlook, Word and Excel skills, including superior proficiency in PowerPoint

  • Technologically savvy with the ability to adapt to new applications and technologies

  • Demonstrated ability to maintain composure and professional demeanor during periods of high volumes and change

  • Flexible and open to continuous change

  • Excellent customer service skills and communication skills (including written skills)

  • Detail oriented

Other Information:

  • Reliability Status security clearance granted by CISD, PSPC. The security clearance application will be facilitated by the BGRS Company Security Officer
