We currently have an opening for an Administrator (contract until November 30, 2017) in our Petawawa, ON office.
Role Overview:
The Administrator will provide overall administrative support, including improving on office procedures, coordinating with suppliers, and processing invoices and claims in a timely manner. Accurate input of information within a fast paced environment that requires flexibility is critical to success in this position.
The successful candidate will have a positive attitude, be able to work in a team setting, display good judgment, be detail oriented, have exceptional administrative skills including record keeping and have strong computer proficiency skills in Word, , e-mail, and various other software programs.
Primary Responsibilities:

Accurate and timely processing of Transferee Expense Claims.

Complete and accurate data entry and Scheduler management for respective team(s), as instructed by Supervisor.

Accurate completion of files and input of information To be knowledgeable on CAF IRP policies, Clarifications and approved Brookfield GRS processes.

Review documents received from Transferees and Suppliers, taking next steps as per AWIs.

Book moves and make travel arrangements, as needed.

Sort and distribute mail/email/fax.

Reception duties as required.

Make recommendations to improve office procedures and maintain an effective file management system both online and on site.

Complete courier and Xpress Post as required. Ensure waybills are completed accurately.

Operate office equipment systems such as photocopier, fax, computer, and shredder.

Provide input and recommendations for changes/improvements to practices, procedures, manuals and forms including office procedures.

Assist team members, Team Leader and Supervisor when required.

Other duties as required in a changing work environment.
Qualifications:

Computer proficiency in a Windows environment i.e. Word, Internet, e-mail, and various software programs.

Excellent administrative skills, including record keeping

Accurate keyboarding/data entry skills are essential.

Knowledge/experience in relocation, residential real estate, legal office procedures, basic accounting and/or banking would be an asset.

Self-starter with the ability to work with minimal supervision in a fast-paced environment.

Strong verbal and written communication skills.

Client service oriented with excellent telephone manner.

Analytical and detailed oriented with effective time management skills.

Projects and maintains a professional image and positive attitude.

Bilingualism is an asset

May be required to be telephone accessible outside of regular working hours in some circumstances.
Other:

Reliability status security clearance granted by CIISD, PWGSC; the security clearance application will be facilitated via the Brookfield GRS–GS Company Security Officer (CSO).
