Project Coordinator, Implementation Services

The Project Coordinator will provide project management and administrative support to the Implementation Services department.  This role will support the implementation team with the preparation of all project materials.  This includes expertise in creation of MS Project, Visio, PowerPoint, Word and Excel documents.  This role will also organize and support all daily activities, meetings and travel, and interact with all levels within the organization.  Contributions include innovation recommendations, consistency, attention to detail, organization of group calendars and projects.  The individual in this role must have the knowledge and initiative to work independently.

Responsibilities

    Implementation Support – support all domestic and international implementations managed by the department to include the following:
  • Produce templates that are consistent and compliant with the approved standard
  • Preparation of templates for use by the implementation team
  • Create and modify project plans using MS Project software
  • Creation of new templates to improve team efficiency
  • Create PowerPoint presentations as required for implementation team
  • Assistance with preparation of policy matrices, forms, checklists, templates and other materials used during the implementation process
  • Assist with process mapping (via MS Visio)

    Implementation Department Support 

  • Maintain team biographies
  • Organize meetings/ teleconferences (regularly scheduled and ad hoc)
  • Provide administrative support to the team which may include calendar maintenance, preparation of expense report, preparation and planning of meetings/ events,
  • Coordination of complex domestic and international travel arrangement, arranging for required visas for international travel
  • Prepare correspondence, presentations, etc
  • Support company business conferences or events as requested

    RFP Support 

  • Create and manage Implementation templates for use in RFPs
  • Modify template per required terms outlined in RFP responses
  • Track all published Project Plans requested and delivered for use in RFPs
  • Maintain updated implementation templates and modify as requested/ required by team members
  • Track all projects and activity administered by the implementation team

    Knowledge Sharing 

  • Ownership for maintaining and organization of the implementation team SharePoint site
  • Updating all SharePoint folders with updated documents and materials
  • Create and maintain a library index for SharePoint site
  • Organize and store all organization information which is requested to be retained on the team SharePoint site

    Department Reporting

  • Act as librarian for the implementation team SharePoint site
  • Maintain department directory
  • Oversee department PTO calendar
  • Maintain budget reports
  • Maintain department organization chart
  • Create and maintain team project tracker
  • Publish quarterly department metrics report
  • Create and publish team metrics reports 

Qualifications:
  • Bachelor’s Degree preferred
  • Minimum 5-10 years of administrative and project management support experience
  • Must be well organized with strong attention to detail and an ability to multitask
  • Ability to work independently in a fast-paced environment with little supervision
  • Strong coordination skills and ability to balance multiple tasks and prioritize work in order to meet deadlines.
  • Ability to work with a globally diverse group of individuals
  • A high degree of professionalism , discretion and a commitment to excellence
  • Ability to work with tight deadlines and under pressure
  • Independently exercise good judgment, discretion and sound reasoning in making  Important decisions
  • Excellent MS Outlook, Project, Visio, PowerPoint, Word and Excel skills, including proficiency in calendar management
