Role Overview


In the role of Executive Assistant, you will support a group of senior leaders including 1 to 3 Senior Vice Presidents and a few Vice Presidents. This stakeholder group may or may not be in the same location as the Executive Assistant. Your role is to support and organize daily activities and projects as well as being proactive to anticipate support needed to assist the leaders. Your responsibilities will be varied and will include not only daily administrative tasks but could also include project support and coordination. You will work and collaborate across all levels of the organization, which could also include external clients and suppliers. To be successful in this role, you must have knowledge, initiative, and motivation to work independently. In addition, an ability to be agile and work proactively. What You'll Be Doing

  • Support and coordination of daily tasks in order to keep leaders organized and efficient, which may include but is not limited to:

    • Calendar maintenance

    • Administrative support

    • Expense reporting

    • Preparation, planning, and coordinating of office or regional meetings or teleconferences

    • Preparation and coordination of domestic and international travel arrangements

    • Drafting meeting minutes

    • Drafting and editing PPT presentations, which could include preparing hard copy documents

    • Assist with expense and budget tracking for the division, as required

  • Act as liaison between the leaders and relevant parts of the organization

  • Ongoing maintenance and updates to relevant sections within Sharepoint and other company-related websites as needed

  • Assist with the preparation of local office events, “rallies” and/or global town hall meetings

  • Gather necessary information, including follow-up with relevant parties, to create and distribute division-related reports and dashboards in a timely manner

  • Collaborate and co-ordinate with other Executive Assistants across BGRS

  • Coordinate and/or lead special projects as required

  • Initiate follow up with necessary individuals in order to ensure deadlines or reporting are on track

  • Coordinate, edit, and distribute communications for leaders, which may include creating initial drafts

  • Participate in relevant committees, when necessary

  • Manage office supply procurement

  • Handle highly confidential information with the utmost discretion

  • Other duties as required by specific business unit

What You Bring to BGRS

  • Minimum 5+ years of advanced administrative experience, including experience working with senior leaders preferably in a global environment across multiple time zones
  • Associate/Bachelor’s Degree preferred
  • Advanced MS Outlook, Word and Excel skills, including proficiency in PowerPoint

  • Ability to work independently with minimal direction in a fast-paced environment

  • Must have the ability to work collaboratively across all levels of the organization with a customer-centric mindset

  • Strong coordination skills with the ability to balance multiple tasks, prioritize work in order to meet deadlines, and be agile with changes in environment and deadlines

  • Independently exercise good judgment, discretion and sound reasoning in making important decisions while looking for opportunities to make improvements
  • Superior organization and communication skills, both written and verbal, professional presence and an ability to multitask

  • High degree of professionalism, confidentiality, tact, discretion and judgment

  • Previous project management experience highly desirable
