Role Overview
The Proposal Development Specialist will join a team of dedicated proposal developers and become a member of the global Marketing and Communications team. This position is critical to sourcing, crafting and maintaining factual language and accurate proposal responses and working to support the proposal development team by responding to Requests for Information (RFIs) and developing Requests for Proposals (RFPs) in conjunction with our proposal development managers. The position also involves conducting research – on an opportunity-specific and broader basis – and applying and sharing those learnings.

Reporting to the Director, Strategic Proposals and Design, this individual will also be a member of the broader Global Marketing and Communications team. As a result, there is an inherent responsibility of being a brand ambassador and knowledge keeper of the current facts, figures and offerings that set BGRS apart from the competition consistently keeping our knowledgeable fresh. This role’s contributions directly impact our quality, win rate and reputation overall.

What You’ll Be Doing
As a Proposal Development Specialist, you will work with a number of stakeholders across disciplines to support opportunities for prospective and current clients as well as colleagues in Proposal Development and Marketing/Communications. This will include the ability to conduct meaningful and translatable research, in-depth analyses and contribute to other Marketing initiatives.

This individual will be responsible for content development, specifically the creation and maintenance of that material while liaising with our subject matter experts (SMEs) and knowledge sharing among the team. You will:

  • Contribute to projects for prospective and existing clients, writing and project managing RFIs and collaborating with proposal development managers on RFPs to populate proposals with standard information contained within our knowledgebase
  • Write, edit and format proposals to ensure they are accurate, well-written and always reflective of our offerings, brand, positioning and content strategy
  • Assist with activities (e.g. Best and Final Offers, presentations, etc.) throughout the sales cycle as needed
  • Collaborate with internal stakeholders to translate technical capabilities into factual, accurate knowledgebase material
  • Ensure newly created content is updated in proposal knowledge base in a timely and accurate manner assuring that the team is on the forefront of new knowledge and serving in capacity of “knowledge manager” for the broader organization
  • Project manage content development process by setting clear expectations and associated timelines on internal deliverables working in collaboration with our SMEs and in conjunction with the Proposal Development Manager
  • Develop an in-depth understanding of key industry issues and company operations using that knowledge to interview company employees at all levels and capture it for proposal and content development initiatives
  • Conduct research by gathering germane information and sharing it across teams
  • Form trusted relationships across the organization where knowledge is mutually shared, captured and proactively communicated, as well as made available to the team for rapid incorporation in client deliverables
  • Promote company-wide understanding and adherence to the proposal process
  • Contribute to broader Marketing/Communications efforts by harnessing writing, project management, organization and communication skills as needed


What You Bring to BGRS
The ideal candidate will have relevant experience in proposal writing, content development, and communications in a B2B/professional services environment. A demonstrable ability to manage projects – both internal and external, meet tight deadlines, work alongside with others in the proposal process, and collaborate with team members or work independently are crucial to the role.

  • 3 - 5 years of experience in proposal writing
  • 1 - 3 years of content development
  • Strong project management, organization and communication skills
  • Proficiency in the Microsoft Office suite required
  • Familiarity with proposal management software/language libraries (e.g., Qvidian, Xait Porter, PMAPS or similar)
  • Knowledge of procurement-driven online purchasing systems (e.g., Ariba, SmartSource, Emptoris, etc.)
  • Professional Marketing/Communications/English degree or equivalent qualifications
  • Inquisitive, resourceful and proactive
  • Enthusiastic, flexible approach with eagerness to learn, grow and contribute
  • Experience in the relocation industry is a plus
  • Fluency in English
